WEBSITE COMMITTEE GUIDELINES
Approved by Intergroup Representatives 1 August, 2006
  1. The purpose of the Website Committee shall be to administer and maintain the website of the Richmond Intergroup, Inc. (hereinafter, referred to as "the website") on the Internet World Wide Web.

  2. The Website Committee shall be responsible for finding the best price of goods and services to enable the website to exist.

  3. The Website Committee shall ensure that the website is self-supporting by the Richmond Intergroup, Inc. without receiving anything of value from any source outside the A.A. Fellowship.

  4. Intergroup website:

    1. The purpose of the website shall be to assist Alcoholics Anonymous (A.A.) in the Richmond area in carrying the message of A.A. and providing information about the A.A. Fellowship to the public.

    2. The Website shall present the following information in order for the still-suffering alcoholic to make direct, face-to-face contact with A.A.:

      1. A list of meetings of Richmond area A.A. groups and meetings of A.A. groups affiliated with Richmond area districts.

      2. A listing of A.A. events within or connected to the Richmond area. For the purposes of these guidelines an "AA event" is one which is sponsored by an AA service entity, i.e a group, district, area, GSO, or Intergroup.

    3. The Website shall be a Public Information vehicle of the Richmond Intergroup, Inc. and shall present only publicly available information about A.A.

    4. Operating within the principles embodied in the Twelve Traditions of A.A., the website shall specifically, but not exclusively:

      1. Link only to the General Service Office (GSO) and Grapevine websites.

      2. Use no individual's name.

      3. Present no affiliation, endorsement or display of any non-A.A. entity.

    5. Website Registration:

      1. The website shall be registered with the InterNIC as http://www.aarichmond.org, in the name of the Richmond Intergroup, Inc..

      2. "Chairperson of the Richmond Intergroup, Inc." shall be named owner of the domain registration.

      3. The billing contact shall be "Treasurer of the Richmond Intergroup, Inc.."

      4. The technical contact with the InterNIC must necessarily be the website's Internet Service Provider.

      5. By holding the InterNIC account, "Chairperson of the Richmond Intergroup, Inc." shall have direct control over the technical access to the website.

    6. The website shall contain the following:

      1. A home page displaying the name of the website as well as clearly identified connections to the other sections of the website.

      2. A schedule of meetings of Richmond area A.A. groups and meetings of A.A. groups affiliated with Richmond area districts.

      3. A list of A.A. events within or connected to the Richmond area.

      4. Links to the GSO and Grapevine websites.

      5. The Guidelines for the Website Committee.

      6. A list of submitted, public Virginia Intergroup/Central Office phone numbers.

    7. Procedures to submit information for display on the Website shall be as follows:

      1. Group information:
      2. The Richmond Intergroup office staff:

        1. shall notify the Web Team of changes to group information listed on the meeting schedule in writing, using E-mail or postal mail.

        2. shall provide group information to the Web Team in order to add groups to the meeting schedule.

        3. may request the removal of any or all group information from the website at any time.

        4. shall have the responsibility of verifying the accuracy of group information on the website.
      3. Events:
      4. AA Members may provide announcements of A.A. events within or connected to the Virginia Area to be posted on the website to the Intergroup office staff in writing, using E-mail or postal mail.
    8. Unilateral actions taken by an individual in regard to the website, without prior approval of a majority of the Website Committee and/or a majority of the Intergroup Representatives, may result in the removal of that individual's technical access to the Website.

  5. Web Team

    1. The Website Coordinator shall have the responsibility of managing the Web Team.

    2. The Web Team shall consist of the Website Coordinator, an Alternate Website Coordinator and the Website Committee Chairperson. The Web Team may seek additional assistance as needed.

    3. The Web Team shall delegate the responsibilities in the administration and technical support of the website among its members and shall keep the Website Committee informed as to the Web Team's organization and operation.

    4. The Web Team shall be responsible for the day-to-day maintenance of the website including, but not limited to:

      1. Updating meeting and event information in a timely manner.

      2. Backing up the website data files on a biweekly basis.

      3. Monitoring the website ensuring its ongoing operation.

    5. The Intergroup Chairperson and the Web Team shall have sole access to make changes to the website and shall have responsibility to maintain appropriate security for the integrity of the website and the information it contains.

    6. As trusted servants, the members of the Web Team shall be authorized to make changes to the website, as they deem necessary, within the limitations of these guidelines.

    7. The members of the Web Team shall have equal and full access to the Website, including file transfer privileges.

    8. Should irreconcilable disputes arise within the Web Team, the Website Committee Chairperson shall present these matters before the entire Website Committee to be resolved.

  6. AMENDMENT PROCEDURE
  7. Any amendments to these Guidelines shall be approved by majority vote of the Intergroup Representatives.
